Pentathlon GB Privacy Policy Statement 

How we will use data we hold about you and what you need to know about using our website(s) 

1. The Modern Pentathlon Association of Great Britain (which includes 'Pentathlon GB', 

the 'World Class Performance', the 'Talented Athlete Programme' and the Regions) is committed to respecting privacy and to complying with applicable data protection and privacy laws. You acknowledge that by making requests, using the website or providing data to us, you consent to the processing of your data in accordance with our Information Security Policy via our online membership and competition entry platform provided by Sport:80. To let us know you would or would not like to receive Marketing and Promotional information please log-on to your Account, select View/Edit Profile and complete the Communication Preferences. 

  1. You may visit our website without disclosing personally identifiable information about yourself (although note that we may use cookies and collect other non-personally identifiable information about your browsing activity to help make our website content more relevant for the benefit of our members). If you submit personal information by ordering products or services, for example, we will use your personal information only to support your continuing relationship with us and to reply to any request for help or information from us. 

  2. We may use your information (by whatever means transmitted) responsive to your request, for instance processing your membership, delivering any service or information requested by you, and responding to your enquiries. We collect and use your personal information only with your knowledge and consent, typically when you join or renew your membership, enter a competition, request information or when you respond to communications from us: 

• For Membership: The personal information we will collect for your membership will include your name and address, Pentathlon Region, date of birth, telephone number, e-mail address and membership number, gender, sexual orientation, marital status, nationally, ethnicity, religion, disability, important medical details and dietary requirements, Club details and dominant shooting hand. 

  • For Competition Entries: We will also collect your swim time and competency certificates. 

  • For Laser Run only we will also ask: What other sports you take part in and how often do you take part in other sports. 

4. You confirm that any information you supply to Pentathlon GB about yourself, whether for the purposes of membership applications, competition entries or for any other purpose, and however you provide that information, is true. 

5. We may also collect non-personally identifying information about your visit to our website, and other similar sites based on your browsing activities. This information may include the pages you browse.


6. Pentathlon GB are permitted to contact members where it is necessary for our legitimate interests (or those of a third party) and to provide updates and information that is relevant to their membership (this may include information relating to training and events, information related to membership benefits – including Pentathlon GB’s e-newsletter and partner offers and discounts - and information/updates on modern pentathlon and its family of sports). We may also tell you about the products and services of carefully selected third parties. This helps us to make you aware of products and services which may be of individual interest to you. Communication preferences can be updated via Sport80. If you do not wish to receive any communications from Pentathlon GB email

7. Please note that we do not pass your personal information to third parties unless you have given us permission or unless it is necessary to do so to deliver the products and services ordered or used by you. For example, we may disclose your data to a credit card company to validate your credit card details and obtain payment when you subscribe. It may also be necessary to pass your data to the organisation from whom you have ordered any products or services. 

  1. We may be obliged to disclose your personal information to meet legal or regulatory requirements. 

  2. You can write to us at any time to obtain details of the personal information we may hold about you under the Special Access Rights. e-mail the PGB Data Protection Officer at [email protected], quoting your name and address, and give brief details of what information you want. We will take reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you. We will charge up to £15 to cover the costs involved. 

  3. We review our technical, physical and managerial procedures and rules to protect your personal data from unauthorised access, accidental loss and/or destruction. We may amend or modify this policy at any time, particularly in response to changes in applicable data protection and privacy legislation. 

11.  We may without further notice monitor or record your calls, e-mails, text messages and other communications in accordance with UK law, in particular to maintain a record of communications, for quality control or training, to prevent unauthorised use of our systems, and to ensure effective operation.

12. Access to and your first use of the Pentathlon GB Website ('the website') constitutes your acceptance of our terms and conditions as published from time to time.

13. Pentathlon GB reserves the right to change these Terms and Conditions at any time by posting changes on the website. You are responsible for regularly reviewing information posted online to obtain timely notice of such changes. 

14. Pentathlon GB makes every effort to guarantee the accuracy of information contained within this site, it accepts no liability for any inaccuracies and visitors who rely on this information do so at their own risk. 

15. Pentathlon GB is not responsible for the content or reliability of the linked websites within this site and does not necessarily endorse the views expressed within them. Listing shall not be taken as endorsement of any kind. To notify Pentathlon GB of broken/outdated links, please e-mail [email protected]  

16. You acquire no rights or licences in or to the website and/or the content. You use the website in accordance with these Terms. You may download documents which appear in the 'Resources' section or other documents which are clearly intended for download. Other than as set out in this section you may not copy, reproduce, recompile, decompile, disassemble, reverse engineer, distribute, publish, display, perform, modify, upload to create derivative works from, transmit, or in any other way exploit any part of the website. Specifically, you may not copy any images which appear on the website without the written authority of Pentathlon GB’s Media Officer. Please email [email protected] to make your request.

• For the posting, uploading, emailing or other transmission of any material, the publication, dissemination, use or possession of which infringes the rights of any person or which is unlawful in any other respect. 

  • In any manner which could damage, disable, overburden, or impair the website. 

  • To make available personal data about any person other than yourself or the personal data for other members (your children, pupils) even if those other members have given you access to their membership details. 

  • To obtain or attempt to obtain any materials or information through any means not intentionally made available or provided for through The Website. 

  • To impersonate any other person or entity or to provide inaccurate information. 

  • In any way which is abusive, vulgar, racist, sexist, defamatory, sexually orientated or obscene or which will harass, distress, embarrass or inconvenience any person or which might restrict or inhibit the use and enjoyment of the website by any person. 

  • For the posting, uploading, emailing or other transmission of any unsolicited or unauthorised advertising, promotional materials, junk mail, spam, chain letters, pyramid schemes, or any other form of solicitation or commercial exploitation. 

  • For the posting, uploading, emailing or other transmission of any material that contains software viruses or any other computer code, files or programs designed to interrupt, restrict, destroy, limit the functionality of or compromise the integrity of any computer software or hardware or telecommunications equipment. 

  • In such a way so as to remove the copyright or trademark notice(s) from any copies of any website content made in accordance with these terms; or 

  • In any way that might bring Pentathlon GB, it's affiliated organisations or the sport of Modern Pentathlon into disrepute.

graphics, video or audio) to Pentathlon GB or the website you are granting Pentathlon GB a perpetual royalty free non-exclusive licence to reproduce, modify, translate, make available, distribute and sub-license the message/suggestion in whole or in part and in any form anywhere in the world.

By submitting any messages, suggestions or material to Pentathlon GB or the website you agree that Pentathlon GB may use those materials or suggestions for any purpose and in any what it chooses, including, but not limited to, developing, manufacturing and marketing products using such materials or suggestions. Any materials you provide shall be regarded as non-confidential. 

20. By submitting any messages, suggestions or material to Pentathlon GB or the website you waive all of the moral rights that you have under Chapter IV of the of the Copyright, Design and Patents Act 1988 in respect of any such material. 

21. Pentathlon GB shall have the unrestricted right to post on to the website some or all of any messages or suggestions that you submit to Pentathlon GB or to choose not to do so. If Pentathlon GB chooses to post some or all of your messages or suggestions it may thereafter remove from the website some or all of any messages or suggestions that you submitted to Pentathlon GB or the website at its discretion and without the need to give any reasons. 

22. If you do not wish to grant Pentathlon GB the rights set out above, do not submit contributions to Pentathlon GB through the website or through any other means.

If you access any of our website’s sub domains in respect of any of our clients (“Clients”) (“Client Sub Domains”), then our Client’s terms of use and privacy policy available on such sub domain shall apply to your use of the relevant sub domain, and shall take precedence over this privacy policy (and the documents referred to in it).

This Privacy Policy (together with our terms of use and any other documents referred to in it) explains what happens to any personal data that you provide to us, or that we collect from you, whilst you visit our website.

We have appointed Gary Hargraves as our data protection officer who is responsible for overseeing questions in relation to this Privacy Policy.

In respect of our Client Sub Domains, the data controller is the relevant Client and the data processor is Sport:80 Services Limited of Unit 3, Neepsend Triangle Business Centre, 1 Burton Road, Sheffield, England, S3 8BW. For the avoidance of doubt, we are acting as data processor only in relation to those technological services we have agreed to provide to the relevant Client via the Client Sub Domain pursuant to the Supply of Services Agreement entered into between us and the relevant Client. It should be noted that other organisations may also be acting as data processor on behalf of the relevant Client.

2. Information We Collect

In running and maintaining our website and providing services to you that will allow you to utilise the facilities on our website we may collect and process the following data about you:

2.1 Information about your use of our website with regards to each of your visits to our website. This may include: (i) details of your visits such as pages viewed and the resources that you access; and (ii) technical information, such as traffic data, location data and other communication data.

5.1 In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.

5.2 If Sport:80 Services Limited (or substantially all of its assets) are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

5.3 If our ultimate holding company, Sport:80 Limited and all of its subsidiary companies, is acquired by a third party, in which case personal data held by us about you will be one of the transferred assets.

5.4 Where we are legally required by law to disclose your personal information, or in order to enforce or apply our terms of use.

5.5 To further fraud protection and reduce the risk of fraud.

5.6 To our business partners, events organisers, sporting federations, service providers, suppliers and sub-contractors for the performance of any contract we enter into with them or you. We will ensure that any written contract we enter into with them will provide that they, as a data processor, (i) will process personal data disclosed by us to them in accordance with instructions from us and (ii) are to comply with obligations equivalent to those imposed on us and as set out in this privacy policy.

6. Storing Your Personal Data

In operating our website it may become necessary to transfer data that we collect from you to locations outside of the European Economic Area (“EEA”) for processing and storing. By providing your personal data to us, you agree to this transfer, storing or processing. We do our upmost to ensure that all reasonable steps are taken to make sure that your data is treated securely and in accordance with this Privacy Policy, to ensure that a similar degree of protection is afforded to it in line with UK Data Protection legislation.
